How to Compare GFCI Receptacle Quotes: Questions to Ask Suppliers

A lower unit price does not always mean a lower-cost order. Use these questions to compare supplier offers on the same product, quantity and delivery basis.

Two GFCI receptacle quotes may cover different models, quantities, packaging or delivery terms. Before comparing suppliers, make sure each quote is based on the same requirements. Use the questions below to identify differences and clarify missing information.

Questions to ask every supplier

These details form the basis for an apples-to-apples comparison.

1. What exact model and configuration does the quote cover?

Ask the supplier to identify the model number and confirm the configuration against your request. If the supplier proposes an alternative, ask for the exact model and a written list of differences.

2. What quantity and price basis does the quote use?

State the quantity for each model. Confirm whether the price is per piece, set, carton or another unit.

Ask about the minimum order quantity and price breaks. For orders with multiple models, confirm which quantities and model mix apply to each price level.

3. What does the quoted price include or exclude?

Ask the supplier to list included costs and separate charges. Depending on the order, these may relate to packaging, samples, tooling, inspection or shipping.

Do not assume a cost is included just because it is not listed separately. Ask the supplier to clarify any missing or unclear item in writing.

4. What are the currency and quote validity period?

Confirm the currency and how long the quotation remains valid. Compare offers with the same order scope and check that each quotation is still valid.

5. What production schedule and delivery basis does the quote use?

Ask what event starts the production lead-time estimate, such as order confirmation or approval of required artwork. Confirm whether the schedule covers production only or includes delivery.

Ask the supplier to state the delivery term and named place. If the quote uses Incoterms, confirm the specific rule, named place and version. Use the same delivery basis when comparing shipping costs.

6. What payment terms apply?

Confirm the proposed payment terms before making a final supplier comparison. If they are not shown in the quotation, ask the supplier to provide them in writing.

Questions to ask when they apply to your project

These requirements depend on your buyer program and order scope.

  • Certification documents: Confirm the certification requirements for the destination market and buyer program. Where documentation is applicable, request and verify files for the exact model being quoted.
  • Samples: If a sample is part of your evaluation, confirm the sample configuration, charges, shipping cost and expected timing.
  • Packaging and labeling: If you need private-label artwork, retail packaging, barcodes or specified cartons, ask which costs and setup steps are included.
  • Inspection and quality records: If your purchasing program requires an inspection or specific quality documentation, define the required scope and ask whether it is included.
  • Freight and import costs: If you need a delivered-cost estimate, confirm which freight or other charges are included. Estimate remaining costs using the destination and terms applicable to your shipment.

Compare product prices and delivery costs using the same assumptions. If you estimate landed cost, check which charges are already included so you do not count them twice.

Confirm in writing before placing an order

Before issuing a purchase order, confirm the final model and quantity, any approved sample or artwork, the production schedule, payment terms, delivery basis and remaining exclusions.

A clear written record helps both sides work from the same agreed scope.
